Your information, handled carefully

Updated 18 October 2026

This notice explains how Revamp uses the information you give us when you enquire, request the free guide or book a review.

Who is responsible

Revamp is a trading name of John Field Fundraising Ltd, company number 13040151, registered in England and Wales. The company is responsible for your personal information. Our registered office is 61 Wildcroft Drive, North Holmwood, Dorking, England, RH5 4TX. You can contact John at john@revampbusiness.co.uk.

What we collect

We collect the contact details, business information and answers you choose to provide through our enquiry form, questionnaire and emails. If you book, we also keep records of your payment, the work agreed and the report we provide. Stripe handles the payment details you enter at checkout.

Please describe examples without naming your clients or staff wherever possible. Do not include passwords, payment card details, health information or other sensitive personal information in your answers.

You choose whether to enquire or book. We need your contact details to respond and enough information about your working day to prepare a useful review. If essential information is missing, we may not be able to deliver the review until you provide it. Optional questions can be left blank.

Why we use it

We use your enquiry to send the guide you requested, respond to your questions and assess whether a review could help. We use questionnaire answers and related correspondence to prepare and deliver your review. We keep appropriate records to administer the business, handle queries and meet accounting obligations.

Where you personally enter a contract with us, we use the necessary booking and delivery information on the basis of taking steps at your request before a contract and performing that contract. Where you act for a company, we rely on our legitimate interest in responding to and delivering work for that business. Legal obligations apply to records we must retain for accounting purposes. We also rely on our legitimate interests in responding to requests for the guide and handling service queries and complaints.

Requesting the free guide does not sign you up to a newsletter or an unrelated marketing sequence.

The services involved

We use Google Forms, Google Workspace and Apps Script to collect answers, store information and prepare email drafts. Stripe processes payments. OpenAI hosts this website through ChatGPT Sites. These providers receive the information needed to operate their services. Stripe also uses some information for its own purposes, including fraud prevention and legal obligations.

Our service providers may process information outside the UK. Their published terms describe the safeguards used for international transfers, including contractual protections where applicable. You can read Google’s data processing terms, Stripe’s privacy information and OpenAI’s website hosting data terms. Contact John if you would like details or a copy of the safeguards relevant to your information.

How AI fits into your review

John uses ChatGPT to help organise information and develop draft recommendations. He personally checks your report and remains responsible for the advice provided.

Our current approach is to prepare an anonymised account of the business problems before using AI. This means removing names, contact details and other details that could identify a person, including distinctive examples. If the information cannot be anonymised adequately, John will handle that part without putting it into ChatGPT. We do not upload your full identifiable questionnaire under this approach.

We do not make decisions about you based solely on automated processing that have legal or similarly significant effects. An AI suggestion does not commit you to a purchase or to changing your business.

How long information is kept

For enquiries that do not become bookings, our policy is to delete the enquiry records 12 months after the last meaningful contact. For paid reviews, we retain the agreed scope, final report and essential correspondence for six years after the work finishes. We remove unnecessary working copies sooner.

We may retain specific records for longer where required by law or needed for an ongoing dispute. We will limit any extended retention to what is necessary. Statutory financial records follow the company’s accounting retention requirements.

Your right to object

You can object to our use of your personal information where we rely on legitimate interests. Tell John about your circumstances and we will consider your request. You can object to direct marketing at any time.

Your rights and questions

Depending on the circumstances, you can ask to see or correct your personal information, request deletion or restricted use, object to processing, or ask for a portable copy. Where consent is used, you can withdraw it. Contact John using the email above. You can also raise a concern with the Information Commissioner’s Office.
